Before you send it
- State plainly what happened and who is affected before anything else; do not bury it in paragraph three.
- Use active voice and name who is responsible; passive voice reads as dodging the question.
- Say exactly where people can find updates, not just that updates are coming.
- Apologize in plain words once, and do not follow it with a defense of the company.
